The challenge
The brokerage spent heavily on portal leads and converted them at a rate leadership found unacceptable. The assumption internally was that lead quality had declined, and there was pressure to cut the spend entirely.
Analysis showed something different. Median first response was just over four hours, and roughly a fifth of leads received no response at all. Leads arriving evenings and weekends — a large share of the total — were often not seen until the following business day.
Nurture was effectively absent. Prospects who were not ready to transact within a few weeks were marked dead in the CRM and never contacted again, despite the fact that most real estate decisions take considerably longer.

We ran a two-week manual test with a dedicated responder covering evenings. The conversion difference was large enough to justify the build, and settled the internal debate about lead quality.

Prospects on a longer timeline enter market-specific sequences that stay useful for twelve to eighteen months, with behavioral triggers that flag renewed activity to an agent.
Neighborhood and market content plus local SEO built an organic inquiry stream the brokerage owns rather than rents.
The outcome
Portal spend was maintained rather than cut, because the same leads now convert at roughly double the previous rate. The efficiency gain came entirely from response discipline rather than better sourcing.
The nurture program has produced transactions from contacts first captured more than a year earlier — business the previous process would have discarded within weeks.
